Word 2007 Q&A: Dividing Labels, Label Shortcut Key, Updating Fields
April 11th, 2008 | by Loren |How do I divide labels?
Once you have generated the labels you want and have them on-screen in Word, you could use a Table Tool to divide the labels.

With your cursor anywhere in the labels, look for the Table Tools button at the top of your screen, it has two tabs: Design and Layout. Click the Design tab, and in the Draw Border group change the Border style to None. Then click the Draw Table button. Your mouse will change to a little pencil shape. Click and drag across the labels where you want them divided. Click the Draw Table again to turn off the pencil. This is the same as splitting cells, and the line you drew in can be moved with the mouse.
What is the shortcut key for labels?
There is no assigned keyboard shortcut for labels. Here’s a couple ways to make the Labels command more accessible.
Add it to the Quick Access Toolbar by right-clicking on the Labels button, then clicking Add to Quick Access Toolbar. (It’s not a keyboard shortcut, but does keep it onscreen.)
How to create a keyboard shortcut for the Labels command
- Click on the Mailing tab.
- Push Ctrl + Alt + plus (on number keypad). This changes the mouse to a cloverleaf shape.
- Click on the Labels button. The Customize Keyboard box opens.
- Push the shortcut keys you want to use for Labels (they should show in the Press new shortcut key box), then click Assign.
- Click OK to finish.
- Test your new keyboard shortcut.
Tip: if the new keyboard shortcut doesn’t work, you probably didn’t click Assign.
I inserted a file name field into my footer, but it doesn’t update automatically. How do I make it update?
An easy way to have fields update in a file is to change the Word Options to make fields update before printing. That means they will update if you use Print Preview or Print.
- Click the Office button, then click Word Options.
- Click Display category in the left-hand pane.
- In the Printing Options sections, check Update fields before printing.
- OK to finish.
A field can also be updated by right-clicking on it and choosing Update Field. The keyboard shortcut to update a fields is to select the field (or use Ctrl + to select the entire document) then push F9 to update.
