Outlook 2007: How to Add an E-mail Address Link to a Signature

July 30th, 2008 | by Loren |

You can make it easy for people you exchange e-mail with to create e-mails to you by adding a return e-mail address to a e-mail signature. This would allow people who have received e-mail from you to write back to you with a new message, rather than a reply, and also allows you to add your own subject line to the e-mail.

  1. Start by editing an existing signature or create a new signature by creating a new mail message, then in the Message tab, Include group, click Signature then click Signatures. Choose the signature to edit or create the new signature.
  2. In the Edit signature area, move your cursor to where the e-mail link should go or select the text for the link (you can type in the text for the link in the next steps).
  3. Click the Insert Hyperlink button on the toolbar in the Edit signature area.
  4. Make sure that the Link to: column has E-mail Address selected (1).
  5. The Text to display: (2) can be anything you want; it could be something like Click here to e-mail me.
  6. You can choose the E-mail address: (3) from the list of Recently used e-mail addresses: (5) by clicking on the address the link should use or you can type it in. Be sure to leave the mailto: at the beginning, it is part of the code that makes an e-mail address work differently from a web page address.
  7. The e-mail Subject: (4) will be whatever you type in here. It can help to identify the topic that your original e-mail was about, and will automatically be filled in.
  8. Click OK to finish with inserting the hyperlink, and OK to finish editing the signature.

Test your e-mail link to be sure it works. It should use the default e-mail program to generate a blank e-mail addressed and with the subject line filled in.
