Using AutoText in Word 2007
May 22nd, 2008 | by Loren |AutoText can be a handy feature for when you have lots of boilerplate text to use in a project. It’s a lot like using Quick Parts, but AutoText can only be located on the Quick Access Toolbar, so it’s always visible with changing tabs (you could put a shortcut to Quick Parts on the Quick Access Toolbar, too). Using both Quick Parts and AutoText would give you a way to separate a variety of different boilerplate or objects. Here’s how to set up and use AutoText.
How to Add AutoText to the Quick Launch Toolbar
- Click the Office button, then click Word Options.
- Change the category in the left pane to Customize.
- Change the Choose commands from: to Commands Not in the Ribbon.
- Scroll in the list of command to AutoText (they’re alphabetical).
- Single-click AutoText to select, click Add to put it on the Quick Access Toolbar.
- Us the Up/Down options to position on the Quick Access Toolbar, if needed.
- Click OK to be done.

Adding Text Entries to AutoText

- Select text to be added. This can be a few words, multiple paragraphs, fields, graphics, tables or most anything.
- Click the AutoText button, and then click Save Selection to AutoText Gallery (or push Alt + F3).
- Type in a Name for the AutoText. You will either use this name to identify this AutoText in a list or to manually enter the AutoText by typing the name. The name can include letters, numbers, spaces and punctuation. The list of AutoText entries will display alphabetically, you can override that by starting AutoText names with spaces or punctuation.
- TheGallery: box should show AutoText .
- Adding a Category: will force the list of AutoText entries to be grouped by the category names. This would be good if you need AutoText entries organized by project or document type.
- Description is just for your own reference.
- Save in: Building Blocks.dotx basically means you’ll get the message about Building Blocks.dotx has changed, do you want to keep the changes when you exit out of Word. In order to keep the new AutoText entries, you would need to answer Yes.
- Options: allows you to Insert content only (just as it was created), Insert content in its own paragraph (paragraph mark will be added to end of AutoText) or Insert content in its own page (page breaks will be added before and after the AutoText).
- Click OK to finish.
Inserting AutoText Entries into a Document

Position cursor where text should be inserted.
Manually: Type the AutoText name, immediately push F3.
Mouse: Click the AutoText button, click the entry to insert or right-click on entry and choose where in the document to insert it.
Editing and Deleting AutoText Entries
- To edit the AutoText properties, like Name and Category, right-click it and choose Edit Properties.
To change the AutoText content, recreate the AutoText. Insert it, change it, select it, save it through the AutoText button. You can give it the same name, Word will just ask if you want to redefine the entry, saying yes will overwrite the old entry. - To delete an AutoText, right-click on it and choose Organize and Delete. This will take you to the Building Blocks organizer. Clicking the Gallery heading will group all the AutoText together and make it easier to find the entry you want. Single-click the entry then click the Delete button. Click Close to Finish.

My auto text have been brought over from Microsoft Word 2003.
How do you rename an auto text or change a persons name, or delete one and not have it keep reverting back to the way it was before you changed it? I said Yes to keep it.
When I log out and then log back in they have reverted back.

Hi David – take a look at this info from microsoft.com – about halfway down the page there are directions on how to migrate autotext from Word 2003 to 2007.

I recently upgraded a computer running Office 2003 to Office 2007 and the AutoText entries I had did not transfer over to Office 2007.
Does anybody know where I may find the old AutoText file and how to get Office 2007 to use it so I don’t have to re-enter dozens of AutoText entries?

Is there any way that I can save the autotext that I have created in a Word document IN the file? I want to be able to use the same autotext on another computer without setting up the autotext again.
I’ve tried drop down menus for this but the chunks of text I need insert are over the 255 character limit.

Got the solution, thank you. Had to search the Internet. The old version was so much easier to use I reckon but I guess it’s only a matter of getting used to the new version.

I sent an email few minutes ago regarding autotext. I found the solution. Word 2007 stores the autotext entries in a file called “building blocks” located under \application data\microsoft\document building blocks\1033. I copied the file to the note after renaming the existing file to “building blocks-old.dotx”

I have 2007 office on my PC. Recently installed the same on my notebook. I copied the normal.dotm template from the PC to the notebook (in the appropriate folder). Surprisingly, Word 2007 on the notebook did not show my entries into the ribbon. More surprising is that the added autotext icon is empty, it does not show the 10s of autotext entries I have on the PC version. I had thought that normal.dotm stores all these blocks because it stored all my macros. Where are the blocks stored and how can I transfer them to notebook Word?

Hi Luke – perhaps adding the AutoText button to the Quick Access Toolbar would work for your client. Then they would click the AutoText button and click the entry they want to insert.
Another option would be to assign specific keyboard shortcuts to frequently used AutoText entries. The original “pop-up and push Enter” AutoText is gone in Word 2007.

Any idea if you can set it up where you only have to hit enter, like it used to be? My client is never going to remember to hit F3.
