May 21st, 2008 | by Loren |

Whenever you have formatting that will be used repeatedly within a single document or in different documents, that formatting could be saved as a Style. Here’s an example of a saving a simple, quick Style.

Select some text to format, something short for a heading or side heading. Apply the following formatting using the Home tab and Font and Paragraph groups:

  1. Change the Font Size to 13 pt. Click on the font size number, it will highlight. Type in 13 and push Enter to finish.
  2. Change the Font Style to whatever you like.
  3. Open the font dialog box, turn on Small Caps (or push Ctrl + Shift + K).

To Save this Formatting as a Style

  1. With the formatted text still selected, in the Home tab, Styles group, click Styles window button. In the Styles window, click the New Style button.
  2. The Create New Style from Formatting window opens.

  3. There are two primary things to change here:

  4. In the Properties section, type a name for your style in the Name: box.
  5. Be sure to mark New documents based on this template in order to have the style always available in the Styles group in Word.

A Couple of Things to Notice

  • In the Properties section, the Style for following paragraph: can be used to automatically apply a style. If you have a Heading 1, that is always followed by Heading 2, you can specify that here.
  • The Formatting section should reflect the formatting you already applied. If you want to modify it, that could be done through the controls in this section, or through the Format button. Beyond fonts, styles can include paragraph spacing, alignment, indents, borders, pretty much any text and paragraph formatting you can think of.
