How to Add Any Document Text to a Header or Footer in Word 2007

Here’s how you can add text from anywhere in a document to the header or footer, or anywere else you might want it. What you will do is create a Cross-Reference, with consists of two parts, the source (where it appears originally) and the target (where it will be assigned to appear).

One thing to remember about using Cross-references is that if the text needs to change, edit the source or re-define the source. Don’t try editing the target of the cross-reference, it just won’t work.

How to Define a Bookmark

  1. Select the text to be the bookmark.
  2. In the Insert tab, Links group, click Bookmark (or Ctrl + Shift + F5).
  3. Give the bookmark you are creating a name. The name must start with a letter, and can have letters and numbers in it. It cannot have spaces, but underscores can be used instead. You will use the name to identify the correct bookmark when you are ready to insert the cross-reference.
  4. Click Add to save the bookmark.
  5. You can Close out of the box, or leave it open and continue to define bookmarks throughout your document.



How to Insert the Cross-reference

  1. Activate the header or footer and move the cursor to where the bookmark should appear.
  2. In the Insert tab, Links group, click Cross-reference.
  3. Change the Reference type: to Bookmark.
  4. Have the Insert reference to: on Bookmark text.
  5. In the For which bookmark: section, choose the bookmark to insert by single-clicking it.
  6. Click Insert.
  7. Click Close to finish.



Notes

  • Bookmarks are fields, and don’t automatically update in Word. Fields will update when you open the file, and, if you have it turned on in the Word Options, fields will also update when you Print or Print Preview (Office button, Word Options, Display category, check Update fields before printing). You can also manually update fields by right-clicking on the field and choosing Update Field or by selecting the entire document (Ctrl + A) and pushing F9 to update (with the exception of headers and footers).
  • You can apply capitalization to the inserted field by right-clicking on it and choosing Edit Field. Make sure the correct field is highlighted in the Bookmark Name: section, and in the Format section choose Title case or First capital.

    What do you have to do differently when you want to link a form field within a protected word document so that the field when entered links and enters the information into the page footer.

    Hi Martijn – take a look at this article for more detailed directions, but the basic steps are these:

    1. Apply a heading style to each of your chapter titles. (I’m assuming they are in the text of the document.) Be sure to use the same style for all of them.
    2. Go into the header, and insert a Cross-reference to Headings.
    3. Type in a space, then insert a page number field.

    You might want to try using a border, if the underline doesn’t work the way you want.

    Hello
    How can I do the following in Headers…

    I want to create a header that has the chapter title plus the page numer, underlined, on top of the page

    I tried everything but word help is not that intuitive.
